How to register a company?
The first step is to create an account using your company email address. Please note this can be done by the company owner or an administrator on their behalf. Step 1 - Create an account Go to the platform registration page and sign up using your company email address. Create a password and agree to the Terms and Conditions. Step 2 - Register your company Once logged in, click “Register New Company” at the top right of the screen. You will be asked whether your company is registered under MoHRE or is a non-MoHRE company. MoHRE Companies If your company is registered under MoHRE, enter your Emirates ID (EID) or Unified Identification Number (UID) and click “Register Company”. The MoHRE registered Company Owner will receive a one-time password (OTP) to verify your identity. Once confirmed, your company data will be automatically pulled from MoHRE - no further data entry is required. Tip: Make sure the owner of the mobile number registered with MOHRE is available to share the OTP otherwise you will not be able to progress. Non-MoHRE Companies If your company is not registered under MoHRE, you will be prompted to fill in your company details. Complete all required fields as shown on the screen and click “Register Company”. Your registration will then be submitted for verification.
What happens once company documents are submitted for verification?
Once all mandatory documents have been uploaded and you have submitted them for review, the Fund Administrator will verify your company details, and you will be notified of the outcome by email. If your submission is rejected, you will receive an email explaining the reason and the steps required to resolve the issue. If approved, you will receive a confirmation email and can proceed. You can check the status at any time via your dashboard. Any rejection reasons will also be available in the task details under “Verify your business”. If your submission is rejected, the most common reasons are unclear or blurry documents, or missing mandatory files. Review what you submitted, ensure all three mandatory documents are present and legible, and resubmit through the “Verify your business” section. Please note you can not invite your employees until your company has been verified.
How to add employees?
You can add employees to the platform at any time, even before your company account is fully verified. Note that account verification is required before you can send employee invitations or make subscription payments. MoHRE companies - Go to "Employees" from the left-hand menu and click "Sync employees with MoHRE". Your employee data will be automatically imported from MoHRE. Non-MoHRE companies - please follow the steps below: Step 1 - Open the Employee Management section Click “Employees” from the left-hand menu, then click “Manage Employees” at the top right of the screen. Step 2 - Choose how to add your employees You have two options for adding employees. For a single employee, select the manual entry option and complete the required fields. For multiple employees - which is the recommended approach when enrolling your workforce - you can import records in bulk. Select "Upload employee details", you will then be shown an example list of how each header will be displayed and the expected data entry. Here you can download the example template, complete your data and then save the file as an Excel file or a CSV file. Then select "Next step" and upload your file, Excel format is recommended. You will be shown a snippet of the file, if this is the correct file select "Next step" you will now be asked to Match the columns, where any column titles do not match the format expected you will be prompted to match that column. Once this is complete again select "Next step" and you file will be imported.
How to update employees employment details?
When an employee’s salary changes, the salary information must be updated in the platform on the same day the change takes effect. The system does not accept backdated or future-dated salary changes, as these would result in incorrect subscription calculations. MOHRE Companies - employment details will automatically sync direct from MOHRE, no manual intervention necessary. Non MOHRE Companies please follow these steps to update an employees salary or other employment details: Step 1 - Click “Employees” from the left-hand menu and select the employee whose salary needs to be updated. Step 2 - Select “Employment Details” and click “Edit”. Update the fields as required. Click “Save Changes”. Once saved, if the salary has been updated the platform will automatically recalculate the subscription based on the new salary. The updated amount will be reflected in the next monthly subscription report. If you have numerous updates to do in one go please follow these steps: Step 1 - Click “Employees” from the left-hand menu and select "Manage employees" Step 2 - Select "Edit employee details" here you can type the fields directly into the data listed on screen and select "Update details". Or you can Export this data, edit it in an Excel file or CSV file and then select "Data sources" and "Import data" select your file and "Update details". Any employment detail changes will be visible to the employee as soon as these are saved in the platform.
How to setup a benefit?
To create a benefit, go to “Benefits” from the left-hand menu. You will see the available benefits for your company. Select “UAE End of Service Benefits” to begin. The platform will guide you through three steps: Benefits name, Benefits settings, and Employee assignment. Step 1 - Benefits name Enter a name for your benefit in the “Product name” field. This name is for your reference and helps you identify the benefit on the platform - for example, if your company has multiple departments you may decide to have an EOSB benefit for each department. The Product type will be pre-set to “UAE End of Service Benefits” and cannot be changed. The “Activate product” toggle can be switched on at any point - either now or after you have completed the product settings and assigned your employees. However, please note that no subscriptions can be processed until the benefit is set to active. Click “Save and continue” to proceed. Step 2 - Benefits settings On the Benefits settings page, configure the following: - Investment fund - Select the fund in which your employees’ subscriptions will be invested by default. The platform will display the available funds. Review the options and select the one appropriate for your company. - Payroll schedule - Set the frequency and time at which the subscriptions workflow will run. This determines when the platform processes your monthly subscriptions. - Upcoming payment notice schedule - Set the frequency and time at which the payment report will be sent to you. This report notifies you of the payment amount due before your payroll date. Once configured, click “Save and continue”. Step 3 - Assign Employees to the Benefit The final step is to assign employees to the benefit you have just created. On the Employee assignment screen, the platform automatically opens on the Unassigned tab, which applies a filter to show only employees who have not yet been assigned to any benefit. This is the default and recommended view - select the employees you wish to enrol and confirm the assignment. If you need to assign an employee who is already assigned to another benefit, you can disable the filter to view all employees. However, assigning an employee to more than one UAE End of Service benefit will result in that employee receiving duplicate subscriptions, which is not permitted under UAE law. This should only be done in specific circumstances - for example, an employee transitioning between company branches, or a part-time employee with a particular contractual arrangement. If you are unsure whether a dual assignment is appropriate, contact your fund manager before proceeding.
How and when to invite employees?
Inviting employees to the platform can be done at any stage after company verification - either before or after setting up a benefit. Some employers prefer to invite employees early so that they can view their accounts in preperation for the scheme to start. Others choose to invite employees only once a benefit has been created, employees have been assigned to it and the first subscription is paid. Either approach is valid. To send an invitation, go to "Employees" in the left menu, select the check box next to the employees you wish to invite or select all. Then click “Send invitations” in the top right. The employees will receive an email, to the email address you have input, with a link to access their account. If an employee does not receive the email, please ensure they check their junk and spam inbox. Note - An employee does not need to accept the invitation for the employer to initiate Basic Subscription payments on their behalf. Acceptance is required only if the employee wishes to make Voluntary Subscriptions, switch Sub-Funds, or manage their own investments.
What is the subscription cycle and how to change this?
When setting up a benefit on the platform, the employer configures the payroll schedule. This determines when subscriptions are generated and when payments are due. Based on the upcoming payment notice schedule configured when setting up the benefit, the platform will send the employer a notification email on the selected reminder date, followed by another notification on the actual payment due date. If the payment is not made on time, the platform will send additional reminders: a gentle reminder after 7 days of non-payment, a second reminder after 14 days, and a final escalated notice after 21 days. Contributions begin from the enrollment date, up to the company’s next payroll date. If you would like to review or edit the subscription cycle select "Benefits", select the benefit you created earlier and here you can edit the benefit settings including the payroll schedule and payment notice schedule.
What happens if a subscription payment is incorrect or missed?
If a payment is submitted with an incorrect amount, it will be rejected and must be resubmitted. If a payment is missed or late, the next steps depend on your company type: For MoHRE companies, any late or missed payment will be reported to MoHRE and may result in regulatory penalties. For non-MoHRE companies, instances of late or non-payment will be escalated to the fund manager and addressed in accordance with the fund documentation and applicable law.
What happens after the subscription payment is accepted?
Once your payment is approved, the fund admin invests this into the selected sub-fund. For you, the employer: the payment will update in the platform to show as "Paid." For your employees: once the subscription is invested they'll see their subscription move into "Vested" in their own platform view, including any market gains or losses.
